SUMMARY:
This role is responsible for performing a variety of functions to ensure all goals associated with the safety team are completed accurately and on time.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Support Corporate Health & Safety Director
- Assist Safety team staff
- Assist and handle field communications
- Maintain files, both hard copies and electronically
- Approves invoices for all safety department charges, both hard copy (HIPAA) and Viewpoint
- Assists Corporate Health & Safety Director with recaps and yearly budget projections
- Maintain Drug Program (Bowen Safety Policy Section 3, CCS, etc.)
- Cooperates with 1Source in clinic set up
- Reports non-negative results to Field Superintendent/Site Safety and works together with necessary personnel and employee on SAP counseling if this is the course of action.
- Approve drug test invoices in hard copy form and sends to AP with HIPAA form
- Confirm drug cards from field personnel.
- Record drug tests in VP and tracks non-negative and refusals
- Maintain current database of those certified for ICUP
- Maintain ICUP test supplies and non-negative specimen shipping supplies
- Complete the Emergency Card for jobsite with clinic/hospital and emergency numbers/Start Up Posters
- KPA – Safety Net Website Administrator
- Enter new jobs in predictive solutions, updating as needed
- Maintain and create reports as needed from the predictive solutions inspection reporting system as an administrator
- Assist in completion and distribution of Safety Shorts and maintain them on Pipeline
- Subcontractor Pre-Qualification program - Cooperates with Purchasing Dept. in pre-qualifying subcontractors for Bowen.
- ISNetworld, Avetta, PEC, etc. – maintain third party/client websites for Bowen in the pre-qualification process for our owner clients.
- Assist in completing Safety Questionnaires and Pre-qualifications for new work as submitted by Estimating
- Maintain/record safety supply inventory report
- Send inventory report to assistant controller quarterly for GL changes
- Schedule and coordinate monthly safety team meeting agenda and notes
- Help coordinate recognitions/rewards, etc. for safety incentives and lunches
- Prepare CCS and other award submissions
- Maintain Reports
- Weekly DBAS report (Weekly incident Report was originally the task)
- Update DBAS on Pipeline (Safety Bulletin original task)
- Update results to leadership and Pipeline Monthly (Quarterly Report by Market Segment)
- Safety Surveys - create, distribute and handle results
- Travel - assist in travel arrangements as needed for Safety Team
- Maintain job site poster updates, both state and federal and Bowen (laminated)
- Assist with the Safety Yearly Safety Campaign (Banner/Posters Sets)
- Maintain Safety Warning database
- Maintain Physicals/Vaccines database
- Maintain Safety Staff phone list
- Maintain Safety Staff job assignment list and US Map of current jobs for safety
- Schedule training as needed
- Assist in compiling materials for trainings
- Assist with meals for training
- Arrange travel/hotel accommodations for participants
- Maintain safety training database in Viewpoint
- Maintain Safety policy in hard copy and the live document on the Pipeline
- Compile hard copy supply for job sites
- Maintain a supply of Safety Policy USB
- Participate in the annual policy review as needed
- Maintain and update Safety Department page on Bowen’s Pipeline
- Coordinate and assist in planning team building events and annual safety retreats
- Handle correspondence
- Process the Safety credit card for payment/forward to Accounting
- Monthly one on one with Corporate Health & Safety Director
- Other duties and responsibilities as assigned
ESSENTIAL SKILLS AND EXPERIENCE:
- High School diploma required
- Effective organizational skills
